The Register
The screen your team lives on: binding a station, unlocking with a PIN, ringing items by scan, search, or hot button, holds and quotes, the More menu, and receipts.

Binding a device to a station
The first time you open the register on a device, HeroPOS asks you to select this device's station — pick the location and station the device sits at. The choice is remembered on that device, so you only do this once per tablet or PC.
PIN lock and auto-lock
Every register session starts at the lock screen: a staff member taps in their PIN and the register unlocks under their name. Everything they do — sales, voids, discounts, drawer opens — is recorded against that PIN, so give every employee their own (see the Settings & Security chapter).
The red lock button in the top bar locks the register instantly. If the station has an auto-lock timer set (Settings → Locations & Stations), the register locks itself after that many seconds of no touches or keystrokes. The timer pauses while a payment is in progress, so a slow card prompt won't lock you out mid-sale.
Ringing items: scan, search, numpad
There are four ways to get an item on the ticket:
- Scan — the "Scan barcode / SKU / PLU" box is always focused. A USB or Bluetooth scanner types the code and presses Enter for you; you can also type a SKU or PLU and hit Enter. On the tablet app, tap the camera button to scan with the device camera.
- Search / Browse — opens a full search box plus your category grid. Type two or more characters to search by name; tap a category to browse its items.
- Hot buttons — the colored grid on the right panel. You design this layout in the back office (category buttons open that category; item buttons ring the item straight onto the ticket). If you haven't configured hot buttons yet, HeroPOS shows your top-level categories automatically.
- The numpad — bottom-right. Type a quantity and press QTY to set a multiplier ("3 ×"), then scan an item to ring three at once. Or type a PLU and press Enter to look it up directly.
A few behaviors worth knowing: scanning the same each-item twice bumps the quantity instead of adding a second line. Items sold by weight prompt for a quantity/weight. Items with variants (sizes, colors) open a picker so you choose the exact one. Age-restricted items stop for a date-of-birth check before they land on the ticket. Items with a tag-along (like a bottle deposit) bring their companion line automatically.
The item rail
Tap any line on the ticket and the right-hand rail becomes an item detail panel: big + / − quantity buttons, SKU/PLU/UPC, list and cash price, shelf location, vendor, quantity on hand and on order, and a second page (swipe the dots) with brand, extra barcodes, applicable taxes, and item notes.
From the rail you can also:
- $ Edit Price — apply a line discount in dollars or percent (a reason is required, and the staff member needs discount permission).
- ⧉ Duplicate — copy the line.
- 🗑 Remove — delete the line.
- ↩ Reset — clear a line discount.
- 📝 Instructions — attach a note to the line ("cut to 8 ft", "mixed to HX-04"); it prints on the receipt.
- Print Item Receipt Label — check this and after the sale you'll get a one-tap link to print a label for that item.
When no line is selected, the rail shows your hot buttons plus quick actions: + Add Open Item (a free-typed description and price — open items are non-taxable and don't track stock), Customers, Open Drawer, Lottery / Payout, Gift Card, and Rentals, depending on the cashier's permissions.
Holds, quotes, and recent orders
Hold parks the current ticket so you can serve the next customer — the ticket clears and the sale waits under the Holds button in the top bar. Recall it later from any station at the same location; you can also void a held order from that list (void permission required).
Save as Quote (under More >) does the same thing but files the ticket as a numbered quote (Q-101, Q-102 …) instead — perfect for "how much would this all cost?" contractors. Reopen quotes any time from the Quotes button in the top bar.
The Orders button lists today's completed sales and refunds — tap Receipt on any of them to view, reprint, or email its receipt. The 🖨 button reprints the last receipt with one tap, and Item Lookup is a price-check that never touches the ticket.
Receipts and gift receipts
After a sale, the receipt screen shows the order number, a big Change Due figure when you owe coins back, and:
- Print Receipt — prints to the station's configured printer, or falls back to the browser's print dialog (see Hardware & Apps for printer setup). Turn on auto-print per station if you want a receipt on every sale without tapping.
- 🎁 Gift Receipt (no prices) — a second copy with the prices stripped, ready for gift returns.
- Email — type or confirm the customer's address and send the receipt by email.
- 🏷 Print Item Labels — appears when you flagged lines for labels.
Tap New Sale to clear the screen and start ringing again.
