Customer records and consents
Customers is searchable by name, phone, or email, and each row shows the three balances that matter at a glance: house account, store credit, and loyalty points. A record needs only a first name; add company, phone, email, and address as you have them.
Two checkboxes deserve attention on every record: Email marketing opt-in and SMS marketing opt-in. Marketing campaigns can only reach customers who've opted in — HeroPOS enforces it, and every marketing email carries a one-click unsubscribe. There's also a Tax exempt flag with a field for the exemption-certificate ID (the register skips tax for that customer automatically) and an optional per-order limit.
Customers are attached to sales at the register with the + Customer button — search, or create one on the spot with just a first name and phone.
Loyalty
The loyalty program is configured once in Settings → Loyalty: points earned per $1 (default 1), the redemption rule ("100 points = $5 off" by default), optional expiration in months, and which categories earn points — most stores exclude lottery, tobacco, and gift cards. A master switch turns the whole program on or off without touching anyone's balance.
Enrollment and earning happen at the register when a customer is attached; enrolled customers with redeemable value get a Loyalty tender tab at pay time. Points can also gate promotions ("loyalty members only" deals — see the next chapter). Manual point adjustments live at Settings → Loyalty → Adjust, always with a required note, and point expiration is run on demand with the Run expiration now button.
Store credit
Store credit is a per-customer balance backed by a full ledger — every grant, deduction, and redemption shows when, why, who, and which order. Grant or deduct it from the customer record (positive adds, negative removes, reason required); returns can issue refunds as store credit automatically. At the register, a customer with a balance gets a Store Credit tender tab.
House accounts and statements
For business customers who pay monthly, check Enable house account on their record and optionally set a credit limit. From then on the register offers On Account as a tender — the sale charges to their balance, capped at available credit, and a utilization bar on their record turns amber at 80% and red at the limit.
Working the book:
- Take Payment — record a check or cash against the balance ("Check #1042").
- Adjust — signed corrections and write-offs, note required.
- Monthly Statement — a printable statement per customer with opening balance, charges, payments, balance due, and aging buckets. Email Statement sends it directly.
- AR Aging — the whole book bucketed Current / 31–60 / 61–90 / 90+, with payments applied oldest-first. The bulk email button sends a statement to every customer with a balance and an email on file.
Clubs
Clubs are paid memberships — think wine club: a name, a membership fee, and a term in months. Enroll customers from the club page (collect the fee at the register, or charge it straight to their house account with one checkbox), and Renew extends from today or their current expiration, whichever is later.
The payoff is automatic: active members qualify for club-only promotions at the register the moment they're attached to a sale. The club list shows active members and how many expire in the next 30 days, so renewal calls are easy — and the marketing composer has a "Club renewal" audience preset.
Consignment
Consignment handles goods you sell on someone else's behalf — an individual's estate pieces or a local baker stocking your shelf. Create the consignor with a default split (% of sale or $ per unit), link their items on each item's record (with a per-item split override if needed), and every sale accrues what you owe them automatically; refunds post negative.
When it's time to pay, the consignor's row shows the Unsettled balance — expand it to see the line items, pick a method (Check / Cash / Other), and hit Settle up. One click pays the full balance and stamps a settlement record; a sale that lands mid-click safely rolls into the next settlement.
Marketing campaigns
Marketing sends email and SMS campaigns to your list, honoring consents automatically. Build an audience from a base (all, loyalty members, house accounts, club members) plus recency filters ("no purchase in 60+ days" is your win-back list) and an optional minimum yearly spend, preview who it reaches, send yourself a test, then send. Merge tags like {first_name} and {store_name} personalize each message.
