Promotions & Pricing

Automatic promotions and their scheduling, member-only gating, cashier preset discounts, scheduled and bulk price changes, and how dual pricing benefits your customers.

Promotion types

Promotions are automatic — configure them once and the register applies them to every qualifying sale, no cashier action needed. Six deal types:

  • Percent off and Dollar off — straight discounts on eligible units.
  • Fixed price — every eligible unit rings at $X; in mix & match mode it becomes "N for $X" (any 3 for $10), with the savings split across the group.
  • BOGO — free, BOGO — 50% off, and BOGO — set price ("buy 2, get 1 at $1").

Scope a promo to specific items, whole categories, or a mix & match pool of both. As you configure, a plain-English preview sentence updates live so you can sanity-check the deal before saving.

Scheduling and stacking

Every promo has a schedule card — leave it blank and the deal runs always, or set any combination of:

  • Start and end dates (inclusive).
  • Days of the week — perfect for Taco-Tuesday-style deals.
  • A time window — and if "From" is later than "Until," it wraps overnight (10 PM–2 AM works).

Fine controls handle how promos interact: Priority decides which runs first, Stackable lets a deal add on top of already-discounted units (non-stackable promos claim their units so nothing double-dips), allocation picks whether the lowest- or highest-priced qualifying items get the discount, and Max per order caps units (or deals, for BOGO/mix & match).

Member-only deals

Two checkboxes turn a promo into a membership perk: Requires loyalty customer only fires when an enrolled loyalty member is attached to the sale, and the members-only club selector restricts a deal to active members of a specific club — the reason a wine-club member sees case discounts nobody else gets. Attach the customer at the register and the deal applies itself.

Tobacco retailers: the manufacturer-funded (Altria) checkbox classifies a deal for scan-data reporting so funded promotions flow through to your weekly file correctly.

Preset discounts (the manual kind)

Below the promo list lives Preset Discounts — the quick, cashier-applied, whole-order discounts like "Senior 10%" or "Employee 20%." Give each a name and a percent or dollar value; they appear in the register's Order Discount picker (under More >). Cashiers need discount permission, and line-level discounts always require a typed reason, so the Discounts & Promos report can tell you exactly where the margin went.

Future pricing and bulk reprice

Two tools change prices without midnight spreadsheet sessions:

Scheduled price changes — on any item's Pricing tab, schedule a new list (and optionally cash) price with an effective date. The change applies itself automatically on that date; cancel it any time before.

Bulk Reprice (Items → Reprice) — reprice a whole category, department, or vendor in one pass. Pick a rule (target margin, markup on cost, percent change, or dollar change), a cost basis, and a price-ending rounding (.99, .95, nearest quarter), then preview every affected item — current and new list, cash, and margin — before applying. Cash prices keep each item's existing cash/list ratio, so your dual-pricing spread stays consistent. Apply now, or schedule the whole batch for a future date.

Dual pricing, explained for your customers

If your store runs dual pricing, here's the honest, customer-facing version — worth training your staff to say:

Every item has two posted prices: a card price and a cash price. The cash price is lower because when you pay cash, the store doesn't pay card-processing fees — and it passes that savings to you instead of burying it in one inflated price for everyone. Nothing is added at the register: the shelf label shows both prices, the register screen shows both totals as the ticket builds, and the receipt shows the price you actually paid. Pay cash (or gift card, store credit, or EBT) and the whole sale settles at the cash price; pay card and it settles at the card price. No surprises, no fee line — just a visible discount for cash.

HeroPOS also supports three other fee programs (cash discount, admin fee, and credit-card surcharge — each with its own legal caps and rules); your store runs exactly one. See Settings & Security for configuring them.
