Chapter 8 of 13
Pickup & Delivery
Phone-in and pickup orders: taking them at the register, working the fulfillment board, fulfilling from another store, and the customer notifications that make it hum.

Turning it on
Head to Settings → Fulfillment and switch on Offer pickup and/or Offer delivery. Delivery gets two extra dials: a flat delivery fee (rides the ticket as its own line) and a minimum order amount the register enforces before goods can go out the door. Both offerings also have a Pause toggle — a temporary stop for a slammed kitchen-style day that doesn't touch your settings or existing orders.
Taking a pickup or delivery order
At the register, ring the items, then set the Order Type (under More >, or the toolbar chip once set): In Store, Pickup, or Delivery. Pickup and delivery orders ask for a scheduled time (leave blank for ASAP) and delivery needs an address. Every pickup/delivery order needs a customer attached — the register prompts you if one isn't — because that's who gets notified and whose phone number the board shows.
Take payment as usual. The moment a paid pickup or delivery sale completes, it lands on the fulfillment board as a New order — and staff devices running the tablet app get a push notification ("New pickup order #1042").
Working the board
Fulfillment is a four-column board that refreshes itself every 20 seconds:
- New — paid, waiting to be picked and prepped.
- Ready — customer notified.
- Out for Delivery — with a driver.
- Completed Today — picked up or delivered.
Each card shows the order number, pickup/delivery badge, total, customer name and phone, the scheduled time or ASAP, and a running clock. Orders past their scheduled time get a red border and an "overdue" tag, so nothing quietly rots on the shelf.
The flow is one button per step: Mark Ready notifies the customer; for deliveries, assign a driver and tap Out; then Picked Up / Complete or Delivered / Complete. If your counter flow is grab-and-go, turn on Complete on Ready in settings and one tap does both. Any card can carry notes ("leave at the side door"), and Resend notification is there for the customer who swears they never got the text.
Fulfilling from another store
Multi-location stores can sell in one store and fulfill from another: when setting the order type, pick the Fulfill from location. Stock comes out of that location, and the order appears on that store's board — with a badge showing "fulfill @ Warehouse · sold @ Main St" so both sides know the story. It's the clean way to sell from warehouse stock or route orders to whichever store has the item.
Customer notifications (SMS and email)
When you mark an order Ready (or Out for Delivery), HeroPOS notifies the customer automatically:
- SMS first — if texting is configured: "…your {store} order #1042 is ready for pickup!"
- Email fallback — if SMS is off, unconfigured, or fails, the customer gets an email instead.
Push notifications to your staff's tablets (new-order alerts, the daily snapshot) are a separate, one-time server setup — see Hardware & Apps.
